Corporate Summary
My client is a successful, privately held commercial real estate development, investment, and services company. Currently in its thirty-sixth year of operation, the company builds, acquires, and operates office, hotel, multi-family and mixed-use properties in the District of Columbia, Maryland and Virginia. The company currently owns and operates twenty-one completed projects aggregating 8 million square feet and has an additional twenty-two projects in its development pipeline aggregating 6.4 million square feet.
Position Description
The Vice President of Operations has overall responsibility property service functions, which encompass office and residential property management, engineering, and parking garage operations. The Vice President of Operations supervises, directly or indirectly, approximately 140 employees grouped in these three functional divisions. The position of Vice President of Operations demands outstanding skills in leadership, supervision, organization, financial management, and customer relations, as well as the ability to deliver on a consistent basis the highest levels of property maintenance and customer service at an efficient cost.
Policies and Procedures
- Establish and maintain “best practice” property management, engineering, and parking garage operation policies and procedures to assure the consistent achievement of the highest standards of property operation, maintenance and customer service at an efficient cost.
- Ensure compliance with, and best practice procedures in, such areas as building operations, energy management, and code/regulatory compliance, including through active participation in organizations such as BOMA, IREM, NAA, AOBA, local BID, and NPA, including supporting staff membership and participatory roles in these organizations.
Property Management
- Direct property management staff consistent with the above policies and procedures; assure performance at the highest levels.
- Actively support other departments within the company, including leasing, development, accounting and legal, to help assure achievement of company-wide objectives.
- Conduct regular site inspections with staff. Establish and maintain regular contact with tenants and building ownership.
- Provide timely information to the President and department heads as needed on important property-specific issues and developments, as well as general matters.
- Promote and expand as appropriate Quadrangle property management services, consistent with approved policies, through identification of residential and commercial property, as well as parking, management opportunities; participate in the negotiation and administration of new management agreements.
- Supervise preparation of draft annual operating budgets for the properties, including short-term and long-range forecasting of potential/recommended capital expenditures; review, approve and oversee vendor contract arrangements, ensuring consistent implementation of company standards; track actual operating performance against budget, making adjustments as necessary to achieve budgeted results; and report to building ownership when appropriate.
- Evaluate tenant survey results to assure improvement where required; benchmark against peers both for quality of service provided as well as operating costs by category.
Engineering
- Direct the engineering staff consistent with the above policies and procedures; assure performance at the highest levels.
- Establish procedures to assure that engineering consistently maintains a “customer first” attitude.
Parking Garage Operations
- Supervise Operations Managers; assure performance at the highest levels consistent with the above policies and procedures.
- Supervise preparation of draft annual operating budgets for the parking garages, including short-term and long-range forecasting of potential/recommended capital expenditures; review, approve and oversee vendor contract arrangements, ensuring consistent implementation of company standards; oversee preparation of quarterly competitive surveys; track actual operating performance against budget, making adjustments as necessary to achieve budgeted results; and report to building ownership when appropriate.
Other
- Establish and maintain close and effective working relationships with other department heads.
- Lead operations department staff in the periodic evaluation of property management, engineering and parking garage operating policies and procedures to assure on-going consistency with best practices and other company objectives.
- Evaluate and implement technology solutions, consistent with approved budgets, to improve the department’s delivery of services and further the ultimate mission of the department.
- Coordinate with Human Resource personnel on recruitment, training, development, and performance/compensation review of property management, engineering and parking operations staff.
- Be available for special projects.
Qualifications and Requirements
- Minimum of 10-12 years experience in supervising a commercial property management staff, specifically office and multi-family and preferably in the Washington, DC metropolitan area.
- Demonstrated success at management of large and diverse staff.
- Knowledge of major building systems, including mechanical, electrical, elevator, roofing and plumbing.
- BA/BS Degree; MBA desirable.
- CPM and/or RPA certification.
- Proven leadership, supervisory, and problem-solving skills, with demonstrated ability to adapt to changing demands.
- Financial analysis capabilities and knowledge of financial reporting systems.
- Strong verbal and written communication skills, as well as proficient computer skills and knowledge.
